Forwarded is an email from Ivet from Queen Of Peace. This will detail what is planned and our respective roles in this event. We will discuss this heavily our next business meeting.

Good morning!

We are so excited to move forward on our Field Day with Jesus on September 27, 2026 after the 11AM Mass at St. Thomas More (until 3PM). We don’t have a rain date, but Father Bosomafi approved us to use the Parish Hall if outside doesn’t work.

Our hope is that this can become a yearly activity between the Parishes. We are opening the event to all families across all 3 Parishes, but the activities will target elementary through 8th grade.

Here is what we discussed at our meeting last week with Paul Kosma and Ken Parlatore of the Hawley KofC (Questions/action steps are in red):

  1. Food:

    1. Eric Pass (Grand Knight - Lake Ariel) and his wife will be organizing the St. Thomas More side of the event. They are bringing a popcorn machine and a snow cone machine. I’ve been in touch with Eric, and his Council is happy to provide food. @Eric - would your Council be willing to get the buns, chips, and drinks for the event?

    2. Hawley Council is going to bring a grill and make hotdogs and burgers, possibly fries (I have to talk to Father Bosomafi about the fryer for the fries).

    3. @Don Vivacqua (Grand Knight - Honesdale): Would the Honesdale Council be willing to help with the paper goods?

    4. Katie is bringing a small cotton candy machine.

  2. Activities:

    1. Katie Miller (BVMQP’s Youth Minister) and I are working on the activities and a supply list - we should have these by the end of this week. We’d love for each Parish to support us with supplies for the activities. Each of the activities will be tied to Scripture references, as a heads up, but we will give you a list at the end of this week and we can figure out who can support with what.

    2. We will also have face painters - our teens love face painting, and I believe Eric’s wife will face paint, as well. We have some face paints - if anyone has more, please let us know here.

    3. We also discussed the possibility of making t-shirts for the event. Katie has a t-shirt press, so we are pricing t-shirts and transfer paper and printing. We’ll have that later this week. If it works for us to do this, we will.

  3. Set-up:

    1. We will need a few tents: Katie has a pop-up tent - if anyone else has one, please respond here to the group. I think if we have 3 popups, that should be enough.

  4. Help:

    1. BVMQP’s high school youth group members will be on hand to help with the games. We would appreciate it if other youth ministries/groups could help us that day, too.

    2. I’ve spoken with Tricia Meagher from St. John’s - she will work on getting the high schoolers from youth ministry to help.

  5. Volunteers:

    1. Volunteers: We would love to have teens support us with running the games, helping with set-up, and break down. We will give them certificates of participation and service hours, if they need them.

    2. Compliance: As with all activities, we have to ensure all adults who are chaperoning are in compliance. We would ask each Parish to ensure that whomever is present has their compliances, and any teens who are helping should have a signed Code of Conduct.

    3. We also have to adhere to the Diocese’s guidelines for chaperones: 1 adult in full compliance for every 5 kids. We will need male and female chaperones for that day.

      1. Please provide a list of adults and teens who will be participating from your Parishes and please confirm that they are in full compliance.

  6. Registration:

    1. We are announcing the event in our weekly bulletins and will send out Flocknotes beginning this week. We will need a rough headcount the week before the event to make sure we have enough food/snacks and enough adults present. Each Parish can determine the best way to reach their people.

    2. Children under the age of 12 should accompanied by a parent.

  7. First Aid:

    1. Katie will take care of first aid.

Please let me know if you have any questions. Paul, Ken, and Katie - please let me know if there is anything I missed on here. I’ve attached the flyer that Eric made for the event (awesome - thank you!)- this is in our bulletin for next week. Thank you all! Have a blessed day!

Blessings,

Ivet
